2. Information we collect

Information you give us directly:

• Contact and inquiry information — when you fill out a contact form, we collect your name, email address, and any message you send.
• Email/resource signups — when you request a downloadable resource (such as a compliance checklist) or join a waitlist, we collect your email address.
• Customer and account information — if you become a customer, we collect information needed to provide the service, which may include your name, phone number, billing address, property address(es), permit information, and the instructions you provide for handling calls related to your property.
• Payment information — when you pay for services, payment is processed by our third-party payment processor. We do not store your full card number on our systems; we receive limited information such as the last four digits and payment status.

Information collected automatically:

• Usage and device data — when you visit the Site, we and our analytics providers may automatically collect information such as your IP address, browser type, device type, pages viewed, referring page, and general location (city/region level).
• Cookies and similar technologies — see Section 6.

We do not intentionally collect sensitive personal information through the Site, and we ask that you not send it to us through forms.

4. How we share information

We do not sell your personal information. We share it only as described below:

• Service providers — we use third-party vendors to run our business, and share information with them only as needed to perform their functions. These include, for example, our website host and form provider (Webflow), analytics provider (Google Analytics), email/marketing platform (MailerLite), workflow automation (Make.com), payment processor (Stripe), and telephony/answering providers used to operate the service (Twilio and our answering-service vendor). Each processes information under its own terms and privacy commitments.
• Contractors — where a situation requires a person at your property, we share the limited information a dispatched contractor needs to respond according to your instructions.
• Legal and safety — we may disclose information if required by law, to respond to legal process, to enforce our agreements, or to protect the rights, property, or safety of HostDelegate, our customers, or others.
• Business transfers — if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

5. Email communications

If you request a resource, join our waitlist, or become a customer, we may send you related emails. Marketing emails include an unsubscribe link, and you can opt out at any time; we may still send you non-marketing messages about your account or the service. We include our mailing address in marketing emails as required by the CAN-SPAM Act.

6. Cookies and analytics

The Site uses cookies and similar technologies to function and to understand how visitors use it. We use Google Analytics to collect aggregate usage information; you can learn about and opt out of Google Analytics at Google's opt-out page. Most browsers let you refuse or delete cookies through their settings, though some Site features may not work correctly without them.

7. Data retention

We keep personal information for as long as needed to provide the service, communicate with you, and meet our legal, tax, and accounting obligations, after which we delete or de-identify it. Marketing contacts are retained until you unsubscribe or ask us to delete your information.

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to opt out of marketing, and to opt out of certain data practices. We use reasonable administrative and technical measures to protect personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

The Site and our services are intended for adults and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
